How to Automatically Categorize Emails in Outlook
Outlook categories, applied by AI. Clarity reads each email and picks the right one — no rules, no keyword matching, nothing to maintain.
Outlook's way: color categories, by hand
- 1Right-click a message → Categorize → pick a color category.
- 2Rename each color so it means something, one at a time.
- 3Build a rule per sender or keyword if you want it applied automatically.
- 4Repeat for every new sender, and revisit whenever your work changes.
The problem
- ✕Categories are manual unless you write a rule for each one
- ✕Rules match strings, so they cannot tell urgent from routine
- ✕The color palette is a fixed preset list, not arbitrary colors
- ✕Every new client or project means more maintenance
Clarity's way: read the email, then decide
- 1Connect Outlook once.
- 2Clarity reads each incoming email — who sent it, what they are asking, whether it needs you.
- 3It applies the right category in Outlook, visible on every device.
- 4You open Outlook to an inbox that is already sorted.
What changes
- ✓No rules to write and none to maintain
- ✓Understands a rewritten subject line or an unfamiliar sender
- ✓Native Outlook categories — nothing proprietary to learn
- ✓Works server-side, so it applies before you open the app
Who runs into this
Business owner
Quote requests, supplier invoices and newsletters all land together and all look equally urgent.
Executive assistant
Managing two mailboxes where the categories have to mean the same thing in both.
Account manager
Needs to see, at a glance, which client emails are still waiting on a reply.
Frequently asked questions
What is the difference between Outlook categories and Gmail labels?
They do the same job with different constraints. Both tag a message so you can find and group it. Outlook categories come from a fixed color palette and live on the message; Gmail labels behave more like folders a message can belong to several of at once. Clarity applies categories in Outlook and labels in Gmail, so each account looks native.
Will Clarity change categories I already use?
No. Clarity adds its own categories and leaves yours alone. If you already color-code by client, that stays exactly as it is.
Do the categories sync to my phone?
Yes. Categories are stored on the message in your mailbox, so they appear in Outlook on the web, desktop and mobile.
How accurate is it?
It reads each email in full rather than matching keywords, so it handles rewording and new senders that a rule would miss. When it is unsure it prefers to leave a message uncategorized rather than file it wrongly.

What people actually say
5/5 from 3 reviews on G2“I hate to admit it, I used to drop the ball and miss follow-ups with investors and clients. Clarity now catches those for me. It's like I got an EA that knows my priorities.”
“When I look at my email, I know what I need to do at a glance. I didn't have to set anything up — all I did was log in and Clarity Inbox came with a triage system in place. Now I don't have to filter anything, it makes it easier.”
“Just getting back to people quickly. I'm inbox zero — I can't stand having anything in my inbox. To Respond, a new draft has been created, and I can just copy and paste it.”
