How to Organise Your Outlook Inbox
Four built-in tools, each solving a different problem — and the reason every manual system eventually stops being maintained.
Outlook's way: four tools you maintain
- 1Folders move a message out of the inbox — one folder per message, so you must choose.
- 2Categories tag a message with a colour and it stays put — a message can carry several.
- 3Rules automate either, but only by matching sender or keyword.
- 4Focused Inbox splits Focused from Other and learns from what you move.
- 5Sweep bulk-handles repeat senders.
The problem
- ✕Every new client or project needs another folder or rule
- ✕Rules match strings, so they cannot tell an urgent request from a newsletter using the same words
- ✕The system decays the moment you stop maintaining it
- ✕None of it tells you what needs a reply — only where things are
Clarity's way: categorised by what it is
- 1Connect Outlook once.
- 2Clarity reads each email and decides what it actually is — needs a reply, waiting on someone, informational.
- 3It applies a native Outlook category you can see everywhere.
- 4The morning brief tells you what needs you today.
What changes
- ✓No folders to invent or rules to maintain
- ✓Understands a new sender or reworded subject
- ✓Native Outlook categories, visible on all devices
- ✓Tells you what needs action, not just where it lives
Who runs into this
Business owner
Sixty folders, and mail still lands in the wrong one.
Account manager
Needs to see which client threads are unanswered, not which folder they are in.
Anyone
Built a system in January and stopped maintaining it by March.
Frequently asked questions
What is the difference between folders and categories in Outlook?
A folder moves the message and it can only be in one. A category tags it and it stays in the inbox, and a message can have several. Folders are for filing; categories are for marking what something is.
Is Focused Inbox worth using?
It is reasonable at separating obvious noise, but it sorts rather than summarises — everything in Focused still has to be read to know what matters.
How many folders should I have?
Fewer than you think. Every folder is a decision on every message. Categorising by what a message needs from you scales better than filing by topic.
Can Clarity organise my existing inbox?
Yes. On connection it reads your recent mail and categorises it, so you are not starting from an empty system.
