How to Recall an Email in Outlook

Recall works far less often than people expect. Here are the exact conditions — and the honest answer about what happens when they are not met.

Outlook's way: Message → Recall

  1. 1Open the sent message from Sent Items — double-click it, the reading pane is not enough.
  2. 2Message tab → Actions (or Move) → Recall This Message.
  3. 3Choose delete the unread copy, or replace it with a new message.
  4. 4Wait for the per-recipient success or failure report.

The problem

  • Only works if both of you are on the same Microsoft 365 / Exchange organisation
  • Fails the moment the recipient has opened it
  • External addresses — Gmail, Yahoo, anyone outside your tenant — cannot be recalled at all
  • The recall notice itself tells them you tried, which often draws attention to the message

The honest answer

  1. 1Recall is worth trying inside your own organisation, and only there.
  2. 2For anything external, send a short correction quickly instead — it reads better than a failed recall.
  3. 3Set undo-send to its maximum so the next mistake never leaves.
  4. 4Clarity drafts replies and waits for you, so the class of mistake that needs recalling gets caught before sending.

What changes

  • A draft that waits is worth more than a recall that fails
  • Nothing is sent on your behalf
  • Review before send, every time
  • Works on Outlook.com and Microsoft 365

Frequently asked questions

Can you recall an email in Outlook after it has been read?

No. Recall only removes an unread copy. Once opened, the message stays and the recipient additionally receives a notice that you tried to recall it.

Can I recall an email sent to Gmail?

No. Recall only works when sender and recipient are in the same Microsoft 365 or Exchange organisation. Anything sent to Gmail, Yahoo or any external provider cannot be recalled.

Does the recipient know I recalled a message?

Yes. They receive a recall notification whether or not it succeeded, which is why a quick correction is often the better move externally.

What is the best alternative to recall?

Increase your undo-send delay so mistakes never leave, and send a short, plain correction when they do. Nobody minds a correction; a failed recall just highlights the error.
