Why Outlook search fails
- 1The index is incomplete or corrupt — the most common cause. Outlook is searching a catalogue that does not match your mailbox.
- 2Cached Exchange Mode is only keeping a few months locally, so older mail is not on the machine to search.
- 3You are searching the wrong scope — Current Folder rather than All Mailboxes.
- 4Indexing is still running after a rebuild, migration or new install, and results are partial until it finishes.
- 5New Outlook and classic Outlook do not always search the same local data.

How do I rebuild the Outlook search index?
Control Panel → Indexing Options → Advanced → Rebuild. It can take several hours on a large mailbox, and results stay partial until it completes.
Why does Outlook search not find old emails?
Usually Cached Exchange Mode. It keeps only a set period of mail on the machine — often 12 months — so anything older is not there to search. Change the slider in account settings, or search the server directly.
