Shared inboxes / billing@ inbox
Know which invoices are paid without opening every email
billing@ is where remittances, e-transfer notices and invoice questions land. Clarity reads them as they arrive and matches each payment to the invoice it settles. A payment it can't place becomes a question for you, not a guess.
What Clarity does with each email
Four emails like the ones that land here, and what happens to each one.
| From | Subject | Label | What Clarity did |
|---|---|---|---|
| Customer AP | Remittance advice: INV-2041, INV-2044 | FYI | Both invoices marked paid |
| Bank | You've received an e-Transfer | Notification | Matched to INV-2039 |
| Customer | Can you resend the September invoice? | To Respond | Reply drafted |
| Customer | Payment for PO 7781 | To Respond | No invoice named. Question drafted. |
What goes wrong today
You chase money that already came in
The payment arrived weeks ago under a different number, and the reminder goes out anyway. Leo at Final Touch found 29 invoices he was still chasing that customers had already paid.
Customers pay against their own numbers
A payment names the customer's PO, not your invoice. Leo spent 4.1 hours a week matching them by hand.
Invoice questions hold up payment
A customer asking for a copy of an invoice is about to pay. When the ask sits, the money sits too.
How Clarity handles it
Matches payments to invoices
Remittances, e-transfer notices and bank statements are matched to the invoice they settle. A payment posts only when the document names the invoice and the amount agrees.
Links payments made under another number
When a customer pays against their own PO, the two documents get linked, so your invoice stops looking unpaid.
Drafts replies in your voice
Replies to real questions wait in your Drafts folder, written the way you write. You read them, change what you want and send.
Sorts every email as it lands
Each email gets a label the moment it arrives: To Respond, FYI, Marketing and the rest. You can add your own labels by writing the rule in plain words.
Not sure what to hand over?
Most people aren’t. Run the free report and it shows what arrives in your inbox and what Clarity could take. Or book a call and we’ll look at it with you and set it up the way your business runs.
What it won’t do
Send a reply you haven’t seen, unless you write a rule that tells it to.
Mark an invoice paid on an amount alone. The payment has to name the invoice.
Close a task without an email that shows it was done.
Questions
Does Clarity send emails on its own?
Not unless you tell it to. By default every reply waits in your Drafts folder until you read it and send it. You can write a rule that replies for you, but that is your choice.
Does it work on a shared address like info@?
Yes. Connect the shared address the same way you would connect your own mailbox, with its Gmail or Outlook login. Clarity then works on that inbox like any other.
Do I have to set it up myself?
Labels and drafts start working as soon as you connect. For order tracking, payment matching or anything specific to how your business runs, book a call and we set it up with you.
